The IT & Facilities Supervisor will report to the Human Resources Manager and work closely with both the Human Resources Manager and Managing Partner in supporting the firm’s IT and Facilities needs. The successful candidate is skilled at managing deadlines, is highly organized, detail-orientated, dedicated to excellent client service and demonstrates exceptional communication.
Key IT responsibilities include but are not limited to:
- Provides superior customer service to all Firm members and is the first point of contact for all IT related requests;
- Coordinates and assigns requests to the Help Desk team, collaborating with others to schedule and deliver projects and tasks on time;
- Works with external IT service providers to investigate, define, and research the end user’s problem, identifies root cause, and implements/recommends solutions to appropriately resolve issues to the end user’s satisfaction;
- Performs installations and provides support for the Firm’s network components and servers;
- Evaluates Firm hardware and software needs, conducts research, organizes pilot groups, providing recommendations and advises on trends and new tools to add to the firm’s equipment and software stack;
- Manages and oversees large scale, high impact IT deployments and purchases from planning to delivery;
- Manages the IT budget by tracking expenses, approving purchases, and identifying cost-saving opportunities;
- Manages IT and telecom contracts;
- Provides set-up, support, and maintenance of AV equipment for all boardrooms and internal training of software and equipment for all firm members;
- Facilitates and participates in projects as identified.
Key Facilities responsibilities include but are not limited to:
- Creates and manages relationships with the property manager and building operators;
- Evaluates new equipment, processes, and facility upgrades;
- Coordinates with external vendors for services ensuring service quality and adherence to contracts;
- Manages the facilities budget by tracking expenses, approving purchases, and identifying cost-saving opportunities;
- Assists with insurance and lease renewals;
- Organizes and manages the firms inventory management;
- Works with the Human Resources Manager to develop user manuals, training materials, and other documents as needed;
- Collaborates with Human Resources Manager and external IT Team with the onboarding and exit procedures for all firm members;
- Participates in project management, execution and coordination of office area changes and layouts in collaboration with the Human Resources Manager;
- Collaborates with the Human Resources Manager to assign access cards and parking spots;
- A member of the OH&S committee;
- Facilitates and participates in projects as needed.
Qualifications:
- Post-Secondary Diploma or Certificate in Business Administration or IT;
- Project Management Certification (PMP) is considered an asset;
- Proven experience with Project Management in an IT environment for 4+ years;
- Minimum 3 years’ office/operations experience considered an asset;
- Experience and knowledge in installing and maintaining operating system (Windows), MS Office application software, local area networks (Ethernet), protocol (TCP/IP), and other Firm application software;
- Experience with IT security best practices;
- Shows a strong interest and dedication to understanding and keeping up with current AI treads in a law firm environment;
- Strong communication, organization and problem-solving skills;
- Ability to work independently as well as collaboratively;
- A willingness to learn, recommend, and work with new technologies;
- Ability to perform and oversee complex tasks and prioritize based on business strategy;
- Discretion in handling confidential information;
- Physical ability to lift PC’s, monitors, etc.
